You can set limits for upsell items by creating a dedicated inventory block. This allows you to manage how many of each upsell item is available for specific dates or room types.
Watch this video to understand and create upsell inventory blocks.
Create an upsell inventory block
โ ๏ธ Important: Inventory updates can only be made on the platform extranet and cannot be externally managed by a PMS or 3rd party interface at this time. Bookings will be sent in the exact same way as before.
prices are not amendable per day and are fixed at the item level
You must create the inventory block first and then map it to the upsell.
Follow these steps to create and edit an upsell inventory block.
Click Booking Engine to open this application.
Click Upsells, then click Upsell Inventory Block from the submenu.
Click Create Upsell Inventory Block.
Enter a Title and Description for the block. This title will show up as a dropdown option while setting up upsell items in the upsell items editor.
Add your Allocation. The values that are set in this section can be used for one or more upsell items. Allocation is shared through all items linked to it. This will be the default allocation for all upsell items linked to this block.
Review Exceptions. If applicable, you can manage the exception dates. Exception dates are where the allocation value on individual calendar dates is different from the default value that you set. Empty allocation cells will base the allocation on the default quantities set per day.
Click save changes to apply your updates.
Applying an Inventory Block to an Upsell
Once you have created your inventory block you must then apply it to one or more Upsells. Follow these steps to apply the inventory block to an upsell:
Within Booking Engine click Upsells then click Upsell Group List.
Select the "customize" button beside your required upsell item.
To link each item to an inventory block, select on the dropdown to Allocate by Inventory Block.
All the inventory blocks will display as an option in the dropdown list including any suspended blocks which will be displayed in orange text.
If the block was suspended for an item, a warning will display on top of it.
Click save changes to add the block to the Upsell item.
Note: Adding Upsell Inventory Blocks is an optional field. If not required, you can leave it as โNo selected inventory Blockโ. This means that the item is not inventoried and is available depending on the existing restrictions in place, day of week availability and closed dates.
Experience of Upsell Inventory Blocks from the Consumer side
On the Customize page of the booking path, where consumers select their upsells, all upsell items linked to an inventory block will be shown or hidden based on the allocation values set in the admin side, along with existing restrictions such as days of the week availability and closed dates. Additionally, parameters like check-in, check-out, occupancy, and price type are checked to determine if the item should be offered.
Items with per night or per day price type will be hidden if any dates within the stay period are unavailable. Items priced per individual will display a warning if any dates within the stay period are unavailable. For instance, a customer booked from 19th of August to the 23rd. First day August 19th has no availability, but the following two days do, then a warning will be shown to indicate this. The image shown displays the warning.
Sold items are deducted from the first available day of stay.
The warning will appear differently when the length of stay is more than 7 days. Available and unavailable dates will be shown in their respective columns.
The maximum value that the user can select will either based on the availability or the maximum quantity set in the admin side. These 2 values are compared, and the least will be the maximum value.
As an example in the consumer view, availability for dates of stay have a total of 8 and the set maximum quantity in the admin side is 10. So, we show 8 as the maximum quantity that can be selected by the consumer on the dropdown menu for this upsell item. The warning will show daily availability if it falls below this.
๐ค Tip: You can use upsell inventory blocks for promotions, seasonal add-ons, or limited-time extras like parking passes or late check-outs.
