Add new rooms to your booking engine

Room editor introduction

Watch the video below to find out where to go to begin creating your rooms.

  1. Go into SHR Booking Engine.

  2. On the left side navigation panel select manage rooms, then select list rooms.

  3. To create a new room select the create room button on the top left corner.


General Tab

The General tab in the SHR Booking Engine’s Room Editor is where you define the core details for each room. Here's a step-by-step guide to help you configure it correctly.

  1. Room code: Enter a room code that exactly matches the code in your connected Channel Manager or PMS system. This ensures seamless mapping between platforms. Example: cdbl for a Classic Double Room.

  2. Room title: You’ll be asked to provide both a short title and a long title:

    • Short Title: A legacy feature; still required for now but will be phased out.

    • Long Title: Displayed across all devices and screen sizes.

    Where it appears:

    • On the Choose page of the booking engine.

    • On the Room Details page depending on your setup (Rate-first or Room-first display).

  3. Room description: Two fields are available:

    • Short Description: Required for third-party portals with space limitations.

    • Long Description: Fully displayed within the booking engine’s Room Info tab.

  4. Room incentives: These are key selling points that appear under the room title and above the description.
    Examples include:

    • For family rooms: “Kids Club”, “Babysitter Service”, “Children’s TV Channels”.

    • For suites: “Lake View”, “Balcony”, “Walk-in Wardrobe”, “Lounge Access”.

    How to set them up:

    • Add a Title (shown on the booking engine).

    • Optionally add a Description (appears on hover).

    • Up to five incentives can be added.

    • Use “Import Incentives” to copy from existing room types and then tweak as needed.

  5. Click Save changes.


Occupancy tab

The Occupancy tab allows you to define how many guests can stay in a particular room type, including adults, children, and infants. Here's how to configure it correctly.

  1. Occupancy limits: You can set:

    • Min/Max Adults

    • Max Occupants (total guests excluding infants)

    • Infant allowance

    • Child band (age-based pricing)

    Child Band:
    Defined by SHR during setup (e.g. ages 3–12).
    Infants:
    Typically 0–2 years and do not count toward the occupancy total.

  2. Bed configuration: Choose the bed type and quantity (e.g. 1 Double, 2 Singles).
    This info displays on the booking engine under the Room Info tab.

    Examples on the front end:

    • Classic Double: Max 2 guests, 1 Double bed

    • Classic Twin: Max 3 guests, 1 Single + 1 Double

    • Family Room: Max 5 guests, 2 Singles + 2 Doubles

  3. Pricing drop down: If your property is integrated with a Channel Manager or PMS, this can typically be left as Not Set / Not Applicable.

  4. Minimum occupancy by period: This feature allows you to override the minimum occupancy for specific date ranges—great for low-season flexibility.

    Example: For a triple room that normally requires 3 occupants, you could allow 1 occupant between January and February.

⚠️Important: This feature must be enabled by SHR support. If you'd like to activate it, contact your Customer Success Manager or SHR Support at [email protected].

5. Click Save changes.


Advanced tab

The Advanced tab allows you to configure additional details for each room type, such as accessibility options, accommodation labels, and room upgrade paths. Here's what each field and setting means:

  1. Accessible room: Tick this box if the room is wheelchair accessible. A wheelchair icon appears next to the room title on the choose page when this is enabled.

  2. Accommodation type: Useful for properties offering more than one type of accommodation—e.g., hotel rooms and self-catering apartments.

    What it changes:

    • Replaces the word “room” with “apartment” (or another selected type) throughout the booking journey.

    • If your property is set up entirely as an apartment block, this is typically configured at site level.

  3. Total rooms: Specify the total number of rooms of this type at your property (e.g. 24 Deluxe Doubles).

    • This is for internal reference only.

    • Does not affect inventory or display on the front end.

  4. Room upgrades: Enable this to offer upsell options during the booking journey.

    • You can list other room types (e.g. Deluxe Double, Executive Suite) as upgrades.

    • These are shown on the Customize page and Pre-stay Recommender Engine.

    The system calculates and displays the price difference and updates the booking summary automatically.

    Upgrade display logic:

    • Upgrades only appear if they’re available on the selected dates.

    • If the upgrade cost = base room cost, it will not show.

  5. Click Save changes.


Facilities tab

The Facilities tab is where you define all features and amenities for a specific room type. This helps potential guests understand what’s included—and can influence their booking decision.

  1. Selecting facilities: The tab provides a list of standard, predefined options such as:

    • Television

    • Telephone

    • Tea & Coffee Facilities

    Just tick the boxes that apply to the room type you're editing.

  2. Adding custom facilities: You can also create custom facilities for more specific features unique to your property. There is no limit to the number of custom facilities you can add. Example: Instead of ticking the basic "Television" option, you might enter “32-inch Smart TV” to be more descriptive.

    Click Add Row to enter new custom facilities as needed.

  3. Import facilities: Already set up another room with detailed facilities?
    You can import them into the current room to save time.

    1. Select the source room from the dropdown.

    2. Click Import.

    3. Edit or delete any irrelevant entries.

  4. What guests see: On the booking engine:

    • Both default and custom facilities are displayed under the Info tab of each room.

    • They appear together in a simple bullet point list—no visual distinction between standard and custom entries.

  5. Click Save Changes.


⚠️Important: Once you have selected the applicable facilities for your room type, please ensure that you have not also added these facilities as text in your Room Description. This would result in the room facility details displaying twice to the customer under the room information section on the booking engine. Room facilities, when ticked as shown above, display in list form under the room info section.

🤓Tip: Compare your facilities list with how your rooms are marketed on OTAs (Online Travel Agencies). Often, OTAs include more details and imagery, which can make them more appealing.

Make sure your direct channel is just as competitive!


Room addons

The Room Add-ons tab allows you to offer early check-in and late checkout options on a per-room basis, giving guests more flexibility—and generating extra revenue.

Guests will see early check-in and late checkout options on the Customize Page, after selecting a rate and room. The options include:

  • Time windows for early check-in and late checkout

  • Associated prices

  • Live booking summary updates as selections are made

To create early check in and check out options follow the steps below:

  1. Set the Time Slots

    • Example: Early check-in from 12:00 PM

    • Late checkout until 2:00 PM

  2. Choose Allocation per Day

    • Decide how many early/late add-ons you want to offer per day.

    • Example:

      • 4 early check-ins and 4 late checkouts each day

      • Set 0 for days you don’t offer them (e.g. Friday/Saturday)

  3. Define Pricing by Day

    • Example:

      • Standard early/late add-on: €25

      • Discounted Sunday late checkout: €10 (to promote weekend stays)

  4. Add Exceptions for Specific Dates

    • Override standard rules for specific days (e.g. during events or functions)

    • Adjust availability or price for that date only

  5. Allocation cap: Within the Edit Site Profile, you can also set a global max allocation for early check-ins and late checkouts combined. This prevents overselling add-ons beyond your operational capacity.

  6. Save changes.


Images and Videos

The Images & Videos tab allows you to upload and manage visual content for each room type—giving guests a clear and compelling view of what to expect.

Adding room images

To add images:

  1. Use the dropdown next to the search bar to select a folder:

    • You'll see stock folders provided by SHR

    • And your hotel-specific folders

  2. From your chosen folder:

    • Tick the images you want and click Add Selected

    • Or drag and drop them into the area

    • Or upload new images directly

    • Image Requirements: Make sure images meet the size requirements listed in the media section to ensure proper display on the booking engine.

⚠️Important: For images, four versions of the same image are required to show on the front end.

  • 1600 x 1200 pixels

  • 800 x 600 pixels

  • 400 x 300 pixels

  • 120 x 90 pixels

Adding room videos

You can add one or more videos for any room type, hosted via:

  • YouTube

  • Vimeo

Just paste the video ID into the field—use commas to separate multiple videos.

Matterport

You can also embed a Matterport virtual tour, allowing guests to explore the room interactively.

Just paste your Matterport reference code into the provided field.
