Create a promo code at group level

⚠️Important: Firstly you will need to create the promo code on the individual booking engines. This is suggested as a customer may enter the promo code on the individual booking engine and if the promo code is only created at group level then the promo code will not work on the individual booking engines.

Follow the steps below to set up your promo code at group level.

  1. Log into your portal.

  2. Select the CRM tab along the top navigation.

  3. Click Manage Promotion on the left navigation.

  4. Click Create promo code.

  5. In the general tab fill in the following information:

    1. Under the header access information give your promo code a name.

    2. Do not click the button regarding dynamic promo code.

    3. Under the header reporting and organisation fill in the reporting code and profile code.

    4. A note can be added for internal reference.

    5. Leave the information under the header billing and cost management blank.

  6. Click the second tab named contact this can remain blank.

  7. Click the rates tab.

  8. From the drop down list select the relevant option.

    • Map Individual rates, select the rates that are relevant and click the plus symbol to add the rate to the right hand side.

    • Map rate groups, select the relevant rate group.

    • Use Account Template, select the relevant template.

    • Map rates by rate code pattern, this is the most commonly used option for a group promo code.

      • In the text box provided enter the rate codes and separate them with a comma.

      • The rate codes should come from each of the individual booking engines.

      • If the rate code is the same across all booking engines then there is only requirement to enter the rate code once.

    • Flash sale code is no longer in use.

  9. Click the tab Discount Policy.

    • This may not be relevant as you may have protected rates created and just need to create the promo code so customers can access the rate rather than a discount.

  10. In this tab you can add your discount policy to the promo code by selecting the discount policy from the drop down.

  11. Click create discount policy and a new screen will open.

  12. Enter a title.

  13. Click on the drop down menu and select a discount type.

    1. You can select a percentage discount or fixed monetary discount.

  14. Enter a description.

    1. This is for internal use and an example would be 10% off BAR.

  15. Set a rule for the policy.

    1. Drag the slider to the value of your discount.

    2. If you enter a rate code in allow rates box this will apply the discount to the specific rate.

    3. If you enter a rate code in the disallow rates box the rate will not have the discount applied.

    4. If you choose not to enter a rate code in either box the discount will apply to all rates.

    5. Click add rule if you would like to set up multiple discounts. For example 15% off BAR and 10% off DBB.

  16. Click save changes.

πŸ“ŒNote: Promo code creation on the portal is the same as the set up on an individual site. There is no requirement to add a property to the promo code on the portal. The promo code created on the portal is based on rate codes rather than by property.


Promo code on a portal

Once a promo code is created on the portal, a customer can enter the promo code on the portal to access a discount or a protected rate across multiple properties.
