Learn how to create and customise rate groups to better organise and control how rates appear on your booking engine.

Create and manage a rate groups

Rate groups let you organise your rates into clean, customisable categories that improve the guest booking experience.

This guide walks you through setting up a rate group step by step.

Rate Group setup

Below will outline how to create a rate group:

  1. Click Booking Engine along the top navigation.

  2. Click on Rate Groups on the left navigation.

  3. Click +Create rate group.

  4. Choose one option form the drop down list named visibility.

    • Choose whether the rate group should be public, which refers to the rate group been visible to all users.

    • Choose hidden which refers to the rate group been hidden from public view. This will require a link to access the rate group.

  5. Click on the Status dropdown menu and select the relevant option active, suspended, or deleted.

  6. If you require this rate group to be opened via a promo code, add the promo code in the code text box provided.

    📌Note: You will need to create a promo code in the CRM tab to activate the promo code.

  7. Add a Title.

  8. Add a Description.

  9. Tick Protected Rate Group, if this rate group can only be opened via a promo code.

  10. Tick Restrict Availability to Date Range and enter the start and end date.

    • This section will show the rate group for a specific date range. An example would be if you have rates that are specific to Easter and you would only like the rate group to show for the period the rate is available then set the date range for this period.

  11. Under the header restrict sale availability to date range, click the box + add date range.

    • If adding this option then this will limit the rate group to show for a specific period. An example here is a sale. If you are running a sale for 48 hours then you can enter the date range for the rate group to show for a specific time period. The rate is available for any date this only effects when the rate group will show.

  12. Within the rates tab, select the rates you want to include in this group.

  13. Click on the relevant rate and click add selected rate.

  14. To re-order the rates within the rate group tick the box Order rates using group specific index (lowest first).

  15. Beside each rate there is a text box. Enter a number in the text box. The lower number for example 1 will show this rate first in the rate group.

  16. Within the images tab, add an image to the rate group that will appear on your booking engine.

  17. Click the box for the relevant image.

  18. Click add selected. The image will list on the right.

  19. Click save changes.

📌Note: You must have a minimum of two rate and a maximum of 6 rates in one rate group.

Your rate groups will appear to the customer at the bottom of the start page of the booking journey.


Create a link for a hidden rate group

Below will outline how to create a link for a hidden rate group:

If a rate group should only be available to be viewed by a specific audience then you will need to set your rate group to hidden.

  1. Click Booking Engine along the top navigation.

  2. Click on Rate Groups on the left navigation.

  3. Click edit next to the rate group you want to update.

  4. In the general tab, click Hidden - requires deep linking from the dropdown menu called visibility.

  5. Click save changes.

  6. On the rate group menu page, click the green button called WEB .

  7. This will open a new window and you can then copy the URL from the address bar.


Reorder your rate groups

Below will outline how to reorder your rate groups, which will appear on the start page of the booking engine:

  1. Click Booking Engine along the top navigation.

  2. Click on Rate Groups on the left navigation.

  3. On the rate group menu page use the reorder icon to the left of the rate group title to drag and drop items to the desired order.

📌 Note: The Reorder icon feature will not work for properties with over 20 Rate Groups created.


Ensuring your rate appears in a rate group

If you've added a rate to a rate group but it's not showing, there are a few common things to check. Below will outline the various options:

  • Active status - Only active rates will appear in a rate group. If it’s suspended, it won’t show.

  • Pricing - A rate won’t display unless it has pricing assigned to it.

  • Valid rate period - Rates outside their valid date range won’t show.

  • Availability - If the rate isn’t available for the current month, it won’t show until you search for a date when it is available.

  • Restrictions - Restrictions like minimum length of stay or closed to arrival may prevent it from displaying in certain scenarios.
