Corporate account

Set up corporate accounts so that you can set preferred rates for those companies that do a lot of business with your property.

Set up a corporate account

Follow the steps below to set up a corporate account:

General tab

  • Click the CRM tab along the top navigation.

  • On the left navigation click manage accounts.

  • On this screen click create corporate account.

  • Enter the email address of the corporate customer.

  • Create a password for the corporate user.

  • Create a reporting code. This is for internal use so you can run a report on the number of bookings.

  • Enter any internal notes you feel are necessary.

  • Next is the billing and cost management section, only action this section if an agreement is in place.

  • Click save changes.

⚠️ Important: If the button is ticked to allow bookings to be made on an account basis with a credit card not needed to secure the booking. This should only be used if there is credit terms set up with a company. This is a rarely used feature.


Contact tab

  • This section can remain blank.

  • Enter contact information which will be used to pre-fill certain booking forms for any user with this account.

  • Enter company details.

  • If you are integrated with Opera the company name field will be passed via the interface and can be used to categorise reservations in Opera.

  • Click save changes.


Rates tab

  • Add any special rates set up for this corporate account by clicking the + symbol beside the rate. This will move the rate to the right.

  • You can also choose to allow or disallow other public rates to be available on this corporate account by ticking the "allow other public rates" checkbox.

  • Click save changes.

Note: If you prefer to add a discount to a corporate rate instead of a rate follow the steps under the header 'add a discount to a corporate account' in this article.


Sub accounts tab

  • If you would like to add a user to a master company account you can do this via the sub account tab.

  • Click + create new.

  • A new screen will open.

  • Enter the email address of the customer.

  • Create a new password.

  • Enter contact information if applicable to the new user.

  • Click copy address from master and copy phone from master if the details are the same as the master account.

  • Click save changes.

  • You can now see your newly created sub-account in the sub accounts tab of the master account.

  • You can also see the newly created sub-account in the main view list when you click manage accounts under preferred customers.

Corporate account notification email

Once a corporate account is created they get the below email with login details.


Corporate user login or reset a password on the booking engine.

  • On the start page, choose, customise and book page a user will have the option to login via the top taskbar.

  • When a customer clicks this button they will see this screen where they can input there details.

  • A new password reset can also be made via this login screen.


Allow requests or creation of corporate accounts via the booking engine

  • If you wish to allow public requests for a corporate account at your property via the booking engine, email support [email protected] to reset this feature.

  • Once the feature is enabled it will appear on the login window.

  • You will now have to process this request.

  • Click the CRM tab along the top navigation.

  • On the left navigation click new account requests.

  • You will see a list of accounts waiting to be approved.

  • Click approve.


Add a discount to a corporate account

If you would like to give a percentage discount or a fixed discount to a corporate user follow the steps below:

  • Click the CRM tab along the top navigation.

  • On the left navigation click manage accounts.

  • Click select policy.

  • The list of created discounts will populate.

  • Click on the discount policy.

  • Click none and the discount policy will attach to the corporate account.

Different rate mapping types on corporate accounts

There are different types of rate mappings that you can use when setting up a corporate account.

  • Map individual rates

    • Allows you to select from a list of your available rates. You can search your rates by typing in the rate code or simply scrolling through the main list.

    • If you are happy to assign a rate to this Customer then simply click the ‘+’ icon on this rate and it will be added to the selected list on the right-hand side.

    • If you would like to alter the order in which the rates appear to the customer simply drag & drop to reorder them within the selected list.

    • To remove an assigned rate from this customer simply click the ‘-’ icon and they will not longer have access to this when they are logged in.

  • Map rate groups

    • Allocating a rate group is a quick means of giving customers access to several rates which can then be managed via the rate group editor booking engine.

    • For example - you can set up a rate group for your corporate clients called corporate rates and assign this to several customer accounts.

    • If you need to update which rates appear in this group all you need do is edit them via booking engine and it updates for all customers who have this rate group assigned, rather than editing them one by one.

  • Use account template

    • Account templates are a means of automatically assigning rates to customers who sign up for accounts on your system without the need to manually manage the setup for each individual customer.

    • For example if customers sign up for an account by clicking remember me while making a reservation, a corresponding account template can be created for this action in which rates can be assigned and maintained.

    • Customers signed up via ‘Remember Me’ will then automatically have the rates within this account template assigned to them.

    • If the rates are updated at any point then all customers assigned to that account template will benefit from those changes. If, however you change the default template which ‘Remember Me’ is assigned to at a later date then previous customers would not be affected by this change.

    • For example Template A is assigned to ‘Remember Me’. A ‘Remember Me’ Customer signs up via the form on the site and is mapped to Template A. In the future, if you change the default ‘Remember Me’ Template to Template B, Customers currently on the system will still be assigned to Template A. Any new signups from that point on will be assigned Template B.

    • It is only possible to select one default account template per automatic signup action - E.g. one account template for ‘Remember Me’.

  • Create an account template

    • Click the CRM tab along the top navigation.

    • On the left navigation to click account templates.

    • Click the button +create account template.

    • Enter a name.

    • Click allow access to public rates if applicable.

    • Enter an internal note.

    • Add the rates you would like to include in your template by clicking the + symbol next to the rate.

    • You can also add the rate codes manually, separated by a comma.

    • Click save changes.

    • Add a discount policy to the template if desired.

    • Add a template to your corporate accounts via the manage account button.

  • Map rates by rate code pattern

    • Here you can add rates to the account based on any rate code pattern such as BAR, SPA, Golf, etc.

    • So any rate that has that pattern within the rate code will be available for the account holder.

    • You can also use wildcards such as BAR* which will give access to any rate that has the * symbol at the start of the rate or *SPA which will give access to any rates that have SPA at the end of the rate.

    • Click save changes.
