Waitlist on the booking engine
Outlined below is an overview of the waitlist on the booking engine.
If a customer does not receive availability then a message will appear, stating to get in touch with us using our online booking/request form.

The customer will click on the waitlist button and they will have the option to fill out their details and submit a request to be waitlisted.
The information they will need to submit is as follows:
First name,
Last name,
Telephone number,
Email address.
The form also lists the below but this is prepopulated based on the search doen by the customer:
Checkin and checkout date.
Number of nights,
Rooms required,
Preferred room type,
Number of adults,
Special requirements.
Once submitted the request will be received by the hotel.
View and manage waitlist requests
Follow the steps below to view and manage waitlist requests.
Click the Booking Engine tab.
Click Waitlist on the left navigation.
Click details to view more details associated with the request.

This screen is where you will manage requests.
Dismiss the request by clicking the button on the top right.
You can view the customers telephone number to call the client directly.
If there is a waitlist email template created then this will populate in the text box.
Select the relevant template or update the text box with the outcome of the request.
At the bottom of the screen you have two button options:
Send email and dismiss request.
Send email and mark processed.
An email is sent to the customer with a booking link and the guest can continue with their online booking.
Create a waitlist email template
Click the Booking Engine tab.
On the left hover over Site Configuration.
Click email templates.
Click + create new template.
Give your template a name.
From the drop down menu named template type select waitlist email.
Information will prepopulate.
Under email title this will pre populate.
You can edit this. Choose to include a format of a customers name, from the three buttons provided.
The hotel name will pre populate by default.
In the main body of the email this information will pre populate.
Edit the text as required.
To preview the template click update preview email.
Overwrite template design allows you to overwrite a previously saved temple. Leave this as default design to save a new template.
Insert your email and click sent test email to see the email in full.
Click save changes.
Waitlist auto replies
Outlined below is information on the waitlist auto replies.
The booking engine can automatically send replies on booking requests when the room is made available.
This will help automate processes and help you to re-engage qualified leads in a timely and convenient way.
The process will run every six hours.
When availability is found for requested room or number of adults, the system will send a email to the customer with a link or button which goes to a results page of a booking engine.
Auto process will update status according to action. It can set status to auto processed or expired.
Enable waitlist auto replies
Outlined below is information on how to enable waitlist auto replies.
Firstly, you need to have waitlist template email created.
To turn on auto-processing, the hotel must select which template to use for that process.
To do so, click on a star icon near the waitlist template on the email templates list screen.
If you want to disable auto processing, remove the star from an email template.
